COMPUTER DEPARTMENT SERVICES

Our data processing capability operates on a PC platform, capable of storing and processing multi-million name lists. List maintenance includes merge/purge, standardization, bar-coding and all current postal requirements and reports. We capture data through compact disc (CD), mag tape, electronic transfers and input from hard copy. Reporting on inventory, list response and list information can be relayed by e-mail or by fax.

Our computer department is fully-equipped at handling the following:

Zip + 4 address standardization - adding the additional 4-digit to a 5-digit zip code required for automation mailing and postal discounts - a way of uniforming the data file to read in the best possible way to match post office data banks (Post Office Preference)

List conversion & processing - We convert from Microsoft Excel, Access, Microsoft Word and other software formats to obtain the greatest discount. Processing involves cleaning and checking for consistency of your data, separating foreign addresses, sorting, etc.

Segmentation - The dividing of databases into specific zip code ranges.

Merge/purge processing - Merging multiple databases, files, etc. Deleting duplicate records in your data based on specific criteria.

Flexible customer coding - We can code each database or file so you can track its response or for updating purposes.

Data printouts - We print out your whole database or file (Gallery); zip code printout.

Format Requirements For Mail List Management

We can handle Compact Disks (CDs), 3.5" floppy disks and zip disks, in all density levels, in MS-DOS format. Macintosh diskettes must be converted to MS-DOS format.
Preferred format is DBase III+ (or 2 or 4)
We can also accept diskettes in ASCII, either SDF (Fixed field length) or comma-delimited formats. We can also accept Mail-Merge formats if the data is saved in ASCII (also called DOS text or just text).
ASCII disk must be accompanied by a layout identifying the data fields and their maximum field lenghts.
Preferred data format is for all name and address elements to be in separate fields, as follows:

First Name (may contain Salutation & Middle Name or Initial)
Last Name
Title
Company
Address
Address #2 (if used)
City
State
Zip
Zip4 (may be included as part of zip code field)
CART
We can handle first and last names in one field. City, State, and Zip/Zip4 in one field can also be accomodated, but we would prefer to receive all address elements in separate fields.
